This Privacy Policy is part of the General Terms, and it includes important information about your personal data so we encourage you to read it carefully.
Welcome
Involved parties. This Privacy Policy ("Policy") forms a legal agreement between Zero Backlog LLC ("0doc", "us", "our" and "we") and you or the entity you represent ("you" and "your"). This Policy describes the Personal Data we collect, how we use and share it, along with details on how you can reach out to us with privacy-related inquiries. Additionally, the Policy outlines your rights as a data subject and choices you have.
Policy updates. The Policy may be updated from time to time without notice to you. However, you can always find the latest version on 0doc.ai and should check regularly for updates and changes. The date of the last modification will be displayed near the top of the document.
Roles. Depending on the context, "you" might be a Visitor, User, or Representative:
- When you interact with 0doc by visiting the Platform without being logged into an Account, you are considered a "Visitor."
- When you use an Account for personal use, we refer to you as a "User."
- When you are acting on behalf of an existing or potential Organization, we categorize you as a "Representative."
In this Policy, Data refers to data collected and used by 0doc to facilitate Services you request. Some Data is Personal Data and may include: your name, email address, contact number, locations, and documents.
Personal data
Our legal basis for collecting and processing your Personal Data is (i) your explicit consent when accessing the Services and (ii) a legitimate interest and need in order to provide specific Services offered on the Platform. We may collect the following Personal Data from users:
Information you provide voluntarily. We regularly receive and store any information you enter on the Platform or give us in any other way, whether it be through filling out a form, or through an actual communication. You may elect to not provide certain information, but such an election may prevent you from taking advantage of, and accessing some of our Services or parts of them. We use the Data that you provide for purposes such as:
- Responding to your communications and/or requests
- Customizing future experiences on the Platform for you
- Improving our Platform
- Communicating with you in any way
The types of personally identifiable information which may be collected through your use of the Platform include, but are not limited to: your name, physical address, any email address, phone numbers, billing address, shipping address, product selections or views, order and/or confirmation numbers, financial account information, debit card numbers and expiration dates, credit card numbers and expiration dates, credit card account information, referring URLs, IP addresses, passwords, usernames, occupation, personal interests, your age and information about your hobbies, likes, interests in and regular use of certain products, programs and other Services you use or may be interested in. You voluntarily provide the above personally identifiable information to us when you enter such information on the Platform, whether input with the intention of facilitating a purchase, payment, subscription, interaction, promotion or contest and/or any other special offers or benefits. You are the source of this information.
Information provided automatically. Upon your use or interaction with the Platform, we automatically receive and store certain types of information. We obtain certain types of information when the browser you are using accesses the Platform or advertisements therein, and other content served on the Platform itself, or on behalf of the Platform through other websites.
- Non-personal data. We collect non-personally-identifying information of the sort that web browsers and servers typically make available, such as the browser type used during the interaction, the language preference, the referring website, and the date and time of each Visitor request.
- IP addresses. Your IP address is a unique identifying code which is used in connecting your computer to the Internet, which may be used for various purposes, including to: (i) identify you and to gather broad demographic information; (ii) help us diagnose or service technology problems; (iii) help us estimate the total number of users visiting the Platform located in certain geographic locations; and (iv) help us determine which users have access privileges or restrictions to certain content available on the Platform.
- Device identifiers. We may provide services that allow users to visit, view, access and customize the Platform and other content through the use of their mobile devices such as: phones, PDAs and other similar electronic devices. When the Platform is accessed through these devices rather than a computer, different information may be collected.
- Physical locations. Depending upon which service provider your device is enrolled with, and the location from which you are visiting the Platform, we may automatically receive this information. We may use and store such information received in order to assist us in providing opportunities for services based on your location, as well as to assist with advertising which is targeted based on location.
- Cookies. For advertising and other purposes as described below, we use a feature in your Internet Web browser called a "cookie," which is a piece of information stored on your hard drive, that identifies your intra- and inter-requests on the Platform. Cookies may be used to track your preferences. You can disable your browser cookies and indicate your choices regarding display advertising.
Data use & sharing
Personal data uses. Besides the use of Personal Data described above, we use Personal Data in the ways listed below:
- Service development. We use analytics on our Platform to help us understand your use of our Platform and Services and diagnose technical issues. We also collect and process Personal Data throughout our various Services improve them and develop new Services, and support our efforts to make our Services more relevant and useful to you.
- Communications. We use the contact information we have about you to deliver our Services. We may communicate with you using the contact information we have about you to provide information about our Services, invite you to participate in our events, surveys, or user research, or otherwise communicate with you for marketing purposes, in compliance with applicable law, including any consent or opt-out requirements. Where permitted under applicable law, we may record our calls with you to provide our Services, comply with our legal obligations, perform research and quality assurance, as well as for training purposes.
- Promotions. If you opt to submit Personal Data to engage in an offer, program, or promotion, we use the Personal Data you provide to manage the offer, program, or promotion. We also use the Personal Data you provide, along with the Personal Data you make available on social media platforms, for marketing purposes, unless we are not permitted to do so.
- Security. We collect and use Personal Data to help us identify and manage activities that could be fraudulent or harmful across our Platform and secure our Services and transactions against unauthorized access, use, alteration or misappropriation of Personal Data, information, and funds. We may also collect information about you directly from you, or from third parties for the same purposes.
- Compliance. We use Personal Data to meet our contractual and legal obligations. Ensuring safety, security, and compliance for our Services is a key priority for us, and collecting and utilizing Personal Data is crucial to this effort.
- Minors. Our Services are only directed to people over the age of majority and able to enter into a legally binding contract in the country of residence. If you do not fit this description, please do not provide Personal Data to seek Services directly from 0doc.
Personal data sharing. Besides the sharing of Personal Data described above, we share Personal Data in the ways listed below:
- Affiliates. We share Personal Data with affiliated entities for purposes identified in this Policy.
- Service providers. In order to provide, communicate, market, and advertise our Services, we depend on service providers. We authorize these service providers to use or disclose the Personal Data we make available to them to perform services on our behalf and comply with relevant legal obligations. We mandate these service providers to contractually commit to ensuring the security and confidentiality of the Personal Data they process on our behalf.
- Partners. We share Personal Data with certain Partners to provide Services as well as offer certain Services in conjunction with these Partners.
- Others with consent. In some situations, we may not offer Services, but instead refer you to others (like professional service firms that we partner with to deliver Services). In these instances, we will disclose the identity of the third-party and the information to be shared with them, and seek your consent to share the information.
- Corporate transactions. If we enter or intend to enter a transaction that modifies the structure of our business, such as a reorganization, merger, sale, joint venture, assignment, transfer, change of control, or other disposition of all or part of our business, assets, or stock, we may share Personal Data with third parties in connection with such transaction. Any other entity that buys us or part of our business will have the right to continue to use your Personal Data, but subject to the terms of this Policy.
- Compliance and harm prevention. We share Personal Data when we believe it is necessary to comply with applicable law; to abide by rules imposed by Partners; enforce our contractual rights; secure and protect the Services, rights, privacy, safety, and property of 0doc, you, and others, including against malicious or fraudulent activity; and to respond to valid legal requests from courts, law enforcement agencies, regulatory agencies, and other public and government authorities, which may include authorities outside your country of residence.
Rights & choices
Depending on your location and subject to applicable law, you may have choices regarding our collection, use, and disclosure of your Personal Data:
Opting out of communications. If you wish to stop receiving marketing-related emails from us, you can opt-out by clicking the unsubscribe link included in such emails. We'll try to process your request(s) as quickly as reasonably practicable. However, it's important to note that even if you opt out of receiving marketing-related emails from us, we retain the right to communicate with you about the Services you receive (like support and important legal notices) and other Users might still send you messages.
Data protection rights. Depending on your location and subject to applicable law, you may have the following rights regarding the Personal Data we control about you:
- The right to request confirmation of whether we are processing Personal Data associated with you, and if so, request access to that Personal Data.
- The right to request that we rectify or update your Personal Data if it's inaccurate, incomplete, or outdated.
- The right to request that we erase your Personal Data in certain circumstances as provided by law.
- The right to request that we restrict the use of your Personal Data in certain circumstances, such as while we are considering another request you've submitted (for instance, a request that 0doc update your Personal Data).
- The right to request that we export the Personal Data we hold about you to another company, provided it's technically feasible.
- The right to withdraw your consent if your Personal Data is being processed based on your previous consent.
- The right to object to the processing of your Personal Data if we are processing your data based on our legitimate interests; unless there are compelling legitimate grounds or the processing is necessary for legal reasons, we will cease processing your Personal Data upon receiving your objection.
- The right not to be discriminated against for exercising these rights.

Security & retention
Data transmission disclaimer. We make reasonable efforts to provide a level of security appropriate to the risk associated with the processing of your Personal Data. We maintain organizational, technical, and administrative measures designed to protect the Personal Data covered by this Policy from unauthorized access, destruction, loss, alteration, or misuse. Unfortunately, no data transmission or storage system can be guaranteed to be 100% secure.
Credentials & passwords. We encourage you to assist us in protecting your Personal Data. If you hold a 0doc Account, you can do so by using a strong password, safeguarding your password against unauthorized use, and avoiding using identical login credentials you use for other services or accounts for your 0doc account. If you suspect that your interaction with us is no longer secure (for instance, you believe that your Account's security has been compromised), please contact us immediately.
Data retention. We retain your Personal Data for as long as we continue to provide the Services to you, or for a period in which we reasonably foresee continuing to provide the Services. Even after we stop providing Services directly to you or to a User that you're doing business with, and even after you close your Account, we may continue to retain your Personal Data to:
- Comply with our legal and regulatory obligations.
- Enable fraud monitoring, detection, and prevention activities.
- Comply with our tax, accounting, and financial reporting obligations.
In cases where we keep your Personal Data, we do so in accordance with any limitation periods and record retention obligations imposed by applicable law.
Do-not-track policy
0doc does not currently respond to "do not track" browser headers or specific "do not track" requests. You do have the ability to limit tracking through these third-party programs and by taking the actions listed below. The use of online tracking mechanisms by third-parties is governed by their own privacy policies, and not the terms included hereunder. If you prefer to prevent third-parties from setting and accessing cookies on your computer, you may adjust the settings of your own web browser to block the placement of cookies. You may remove yourself from the targeted advertising of companies by contacting them directly.
International privacy practices
Global stance. In order to provide our Services to you, we may send and store your Personal Data outside of the country where you reside or are located, including the United States. These countries might have data protection regulations that are different from those in your country. When transferring data across borders, we take measures to comply with applicable data protection laws related to such transfer. In certain situations, we may be required to disclose Personal Data in response to lawful requests from officials, such as law enforcement or security authorities.
European Economic Area. If you reside or are located within the European Economic Area and such transfers occur, we take appropriate steps to provide the same level of protection for the processing carried out in any such countries as you would have within the European Economic Area to the extent feasible under applicable law. By using and accessing our Services, users who reside or are located in countries outside of the United States agree and consent to the transfer to and processing of Personal Information on servers located outside of the country where they reside, and that the protection of such information may be different than required under the laws of their residence or location.
Updates & notifications
Updates. We may change this Policy from time to time to reflect new services, changes in our privacy practices or relevant laws. The "Last modified" legend at the top of this Policy indicates when this Policy was last revised. Any changes are effective the latter of when we post the revised Policy on the Services or otherwise provide notice of the update as required by law.
Notifications. We may provide you with disclosures and alerts regarding the Policy or Personal Data collected by posting them on our website and, if you are a User or Representative, by contacting you through your Account, email address and/or the physical address listed in your Account.
Cookies
We use cookies on the Platform. By using the Services, you consent to the use of cookies.
What are cookies. Cookies are small pieces of text sent by your web browser by a website you visit. A cookie file is stored in your web browser and allows us or a third-party to recognize you and make your next visit easier and the Service more useful to you.
Types of cookies. The following cookies listed below are those which we may use to collect certain information about you.
- Session cookies. These cookies simply tell the server that all of your requests within a period of time came from the same computer and should be treated as a single session.
- Persistent cookies. These cookies are commonly used for analysis and performance data tracking.
- Flash cookies. These cookies are created and stored in the Adobe Flash browser app.
Use of cookies. When you use and access the Service, we may place a number of cookies files in your web browser.
